Terms of Service
These Terms & Conditions apply to purchases made from Uvitron International, Inc. By placing an order, requesting a quote, or submitting a purchase order, the customer agrees to the terms outlined below unless otherwise agreed to in writing by Uvitron International.
Orders and Acceptance
All orders are subject to acceptance by Uvitron International. Orders may be placed by purchase order, written approval of a quote, online checkout, or other approved method.
Uvitron reserves the right to refuse, cancel, or request clarification on any order due to pricing errors, product availability, technical concerns, export restrictions, incomplete information, or other business considerations.
Quotes and Pricing
Written quotes are valid for the period stated on the quote. If no expiration date is listed, quotes are valid for 30 days from the date issued.
Pricing is subject to change without notice prior to order acceptance. Prices do not include shipping, handling, taxes, duties, customs fees, tariffs, or other charges unless specifically stated in writing.
Payment Terms, Prepayment, and Deposits
Payment terms are determined at the time of order acceptance. Customers without approved credit terms may be required to pay in advance by credit card, wire transfer, ACH, or other approved payment method.
Special order items, custom configured products, non-stocked products, made-to-order products, and other items ordered specifically for a customer’s application may require full prepayment before the order is processed.
Some larger orders may require a down payment of up to 50% before order processing, production, procurement, or shipment. Any required deposit, prepayment, or payment schedule will be made clear to the customer at the time of quoting or order acceptance.
Customers requesting credit terms may be required to complete a credit application. Uvitron reserves the right to approve, deny, modify, or revoke credit terms at any time.
Late payments may result in delayed shipments, suspended order processing, or additional collection costs where permitted by law.
Lead Times
Lead times are estimates and may vary based on product availability, production schedules, calibration requirements, supplier delays, order volume, or other factors outside Uvitron’s control.
Custom configured products typically require 10 to 14 business days to allow for setup, calibration, testing, and preparation before shipment. This lead time does not include transit time.
Uvitron will make reasonable efforts to meet estimated ship dates, but lead times are not guaranteed unless expressly agreed to in writing.
Custom Configured and Special Order Products
Custom configured, modified, calibrated, special order, non-stocked, or made-to-order products are considered final sale unless otherwise agreed to in writing.
These items are non-cancelable and non-returnable once the order has been accepted, payment has been received, materials have been ordered, procurement has begun, or production has begun.
This includes, but is not limited to, custom UV curing systems, configured lamp systems, modified assemblies, special wavelength products, calibrated equipment, private-label items, and products ordered specifically for a customer’s application.
Shipping
Shipping charges are the responsibility of the customer unless otherwise stated in writing.
For next day air, expedited, or urgent orders, customers should call Uvitron directly at 413.731.7835 to confirm availability and shipping options before placing the order.

Uvitron is not responsible for carrier delays, customs delays, import restrictions, weather disruptions, missed delivery attempts, or delays caused by incomplete or incorrect shipping information provided by the customer.
International Orders
International customers are responsible for all duties, taxes, customs fees, import fees, brokerage fees, tariffs, VAT, and any other charges required by the destination country.
The customer is responsible for ensuring that the products ordered may be legally imported into the destination country and used in accordance with local laws and regulations.
Uvitron may decline international orders where shipping, export, regulatory, or payment requirements cannot be reasonably satisfied.
Inspection Upon Delivery
Customers are responsible for inspecting all shipments promptly upon delivery.
Claims for missing items, incorrect items, damaged products, or other order issues must be made within 10 business days from the date the product is received by the customer unless otherwise specified in writing.
Claims made after this period may not be eligible for replacement, credit, refund, or other resolution.
Shipping Damage
If a shipment arrives visibly damaged, the customer should note the damage with the carrier at the time of delivery whenever possible and retain all original packaging, cartons, packing materials, and documentation.
Customers must contact Uvitron promptly regarding any shipping damage. Photos of the packaging and product may be required to support a claim.
Failure to retain packaging or report damage promptly may limit Uvitron’s ability to assist with a carrier claim.
Returns and Claims
All product returns must be authorized in advance by Uvitron’s Customer Service department.
A Uvitron representative will issue a Return Material Authorization Number, also referred to as an RMA Number, when a return is approved. The RMA Number must be printed clearly on the outside of the shipping carton and included on the accompanying packing slip.
Unauthorized returns will be refused by Uvitron’s receiving department.

Return Condition Requirements
Returned products, including demonstration units, must be received in new, unused, and resalable condition unless the return is related to an approved service issue or warranty claim.
Returned products must be free from damage, dents, scratches, adhesive stains, contamination, alteration, misuse, missing parts, or other conditions that would prevent resale or proper evaluation.
Products should be returned in the original packaging and shipping cartons whenever possible to ensure proper protection during return transit.
Uvitron reserves the right to refuse a return, reduce the credit amount, apply a restocking fee, or charge for repair or replacement costs if the returned product is not received in acceptable condition.
Restocking Fees
Some returned items may be subject to restocking fees. Restocking fees may vary depending on the product, condition, packaging, order type, and reason for return.
Any applicable credit or refund will be issued after the returned equipment is received, inspected, and approved by Uvitron.
Non-Returnable Items
The following items are not eligible for return or refund unless otherwise agreed to in writing:
• Custom configured products
• Special order products
• Non-stocked products
• Modified products
• Used or damaged products
• Products with adhesive stains, contamination, or visible wear
• Products missing accessories, documentation, or original components
• Products returned without authorization
• Products returned after the allowed return period of 10 business days
• Consumable items, lamps, bulbs, and components subject to wear, unless defective upon arrival and reported within the required claim period
Refunds and Credits
Approved refunds or account credits will be issued only after returned equipment has been received and inspected by Uvitron.
Shipping charges, handling charges, rush fees, duties, taxes, customs fees, and other third-party charges are generally non-refundable unless otherwise agreed to in writing.
Refunds will typically be issued through the original payment method or as an account credit, at Uvitron’s discretion.
Product Use and Customer Responsibility
Customers are responsible for selecting products suitable for their application, process, materials, environment, and safety requirements.
Uvitron may provide product guidance, technical information, and recommendations based on information supplied by the customer, but the customer remains responsible for testing and validating product suitability for their specific use.
UV curing results can vary depending on materials, adhesives, coatings, exposure distance, intensity, wavelength, exposure time, surface conditions, and other process variables.
Safety
Uvitron products may produce ultraviolet light, high intensity light, heat, electrical energy, or other hazards if used improperly.
Customers are responsible for following all product instructions, warnings, safety procedures, and applicable workplace regulations. Proper shielding, eye protection, skin protection, ventilation, guarding, training, and safe operating procedures may be required.
Products must not be used in a manner inconsistent with their intended purpose, documentation, or applicable safety standards.
Warranty
Warranty coverage, if applicable, is governed by the warranty terms provided with the product or stated in writing by Uvitron.
Warranty coverage does not apply to damage caused by misuse, improper installation, unauthorized modification, neglect, contamination, improper maintenance, incorrect electrical supply, unsuitable operating conditions, accident, normal wear, consumable parts, or use outside the product’s intended purpose.
Uvitron’s warranty obligations are limited to repair, replacement, or other remedy determined by Uvitron after inspection and evaluation.
Repairs and Service
Products returned for service, evaluation, repair, or warranty review must be authorized in advance and must include an RMA Number.
Evaluation, repair, replacement, or warranty determinations will be made after Uvitron has received and inspected the product.
For warranty repairs, the customer is responsible for shipping the product to Uvitron. If the repair is covered under warranty, Uvitron will pay for return shipping of the repaired or replacement unit to the customer.
For non-warranty repairs, the customer is responsible for shipping costs both to and from Uvitron, in addition to any applicable evaluation fees, service charges, replacement parts, or repair fees.
Limitation of Liability
To the fullest extent permitted by law, Uvitron International shall not be liable for indirect, incidental, special, consequential, or punitive damages, including lost profits, lost production time, lost revenue, business interruption, product failure in the customer’s process, or costs related to substitute equipment or materials.
Uvitron’s total liability for any claim shall not exceed the purchase price paid for the specific product giving rise to the claim.
Force Majeure
Uvitron shall not be liable for delays or failure to perform due to causes beyond its reasonable control, including supplier delays, transportation delays, labor disruptions, natural disasters, severe weather, power outages, equipment failure, material shortages, acts of government, import or export restrictions, war, civil unrest, pandemics, or other events outside Uvitron’s control.
Changes to These Terms
Uvitron International may update these Terms & Conditions at any time. The version in effect at the time of order acceptance will apply to that order unless otherwise agreed to in writing.
